An ISO 27001 asset inventory becomes useful when someone can explain what an information asset supports, who makes decisions about it and what happened when it changed. For a UAE team, an export of laptops or software licences is a starting point. It usually needs a connection to the information and business activities those tools support.

ISO describes ISO/IEC 27001:2022 as an information security management system standard that takes account of organisational risks. Its public overview emphasises confidentiality, integrity and availability. The method below is our recommended way to connect inventory evidence to operational decisions; it does not reproduce the standard or establish certification compliance. 1

Key takeaways

Give important information assets an accountable business owner. Distinguish ownership from technical administration, and make changes visible throughout the asset's life. Test the register against real work before relying on its completeness.

Start with information and its purpose

Ask each process owner which information they need to deliver their service. A customer contract library, maintenance history and payroll dataset have different uses and consequences of loss. Record the boundary clearly enough to distinguish the information from the application hosting it.

The Scottish Government's public-sector cyber framework separately describes maintaining an information asset register and identifying associated hardware and software. That guidance applies to its Scottish public-sector audience. We use the distinction here as a practical reference, rather than a UAE legal requirement. 2

For UAE operations spanning several sites or providers, note where the information is used and which team can authorise changes. Verify applicable local, sector and contractual obligations separately. A location field in a register cannot settle those obligations.

Separate the owner from the custodian

The business owner should be able to explain the asset's purpose, business impact and permitted use. A technical custodian may administer storage, access or backups. One person can perform both roles in a small organisation, but the responsibilities should still be explicit.

Avoid assigning every asset to “IT” without a named business decision route. An administrator may know how to restore a database while lacking authority to decide how long its contents should be retained. Record where the owner needs legal, privacy or technical advice.

Keep a register that supports investigation

FieldPractical question
Asset and purposeWhich information supports which service?
Accountable ownerWho approves business use and changes?
Custodian and locationWho operates the storage or service?
Important dependenciesWhich systems or suppliers are needed?
Evidence and review dateWhat was checked and what remains uncertain?
Lifecycle statusIs the asset active, changing or retired?

Choose additional fields according to the risk. Reference protected access records or technical inventories where appropriate. Keep secrets and unnecessary personal information out of a broadly accessible register.

Reconcile changes with the inventory

Connect onboarding, service changes and retirement decisions to an inventory update. A new cloud workspace can introduce an information store even when procurement sees no new hardware. A staff departure can leave an owner field pointing to someone who no longer has authority.

Sample one recently introduced asset and one retired service. Trace the change record to the register, then ask the current owner to confirm the entry. Record mismatches and allocate corrective work. Retirement should preserve required records and address access and disposal through the organisation's authorised processes.

For instructions and forms linked to an asset, check how staff retrieve the approved version. Our related guide on document control at the point of use examines that different distribution problem.

Resolve an asset mismatch with a completed entry

Fictional reconciliation. Discovery software identifies a cloud collaboration tenant. The business register lists only the local file server. Interviews show that tender records are now held in the cloud while historic projects remain on the server.

FieldExample corrected entry
Information assetTender submissions and supporting commercial records
Business purposePrepare bids and retain the evidence underlying submitted offers
OwnerCommercial director accepts responsibility for permitted use and business decisions
Technical custodianIT administers the tenant and links its access and recovery records
LocationsCloud workspace for current bids; controlled legacy archive for historic records
Unresolved questionOwner to confirm which historic files must migrate and which remain archived

The output is one intelligible business-information entry linked to two technical stores. It does not require inventing two unrelated business owners simply because the data sits in two places. Nor does finding the cloud tenant prove that all departmental copies have been identified.

Close the reconciliation action only after the owner confirms the boundary and the register links to the relevant controlled records. Keep migration and retention decisions open until their responsible owners resolve them. If a new bid workspace later appears outside the recorded tenant, treat that as a change to investigate rather than silently assuming existing permissions and recovery coverage apply. This is an illustrative inventory decision, not a claim of ISO conformity or a UAE retention rule.

Questions for the inventory meeting

Does discovery software establish completeness

It can help identify technology. Compare its output with business information, outsourced services and the register's defined boundary before drawing a completeness conclusion.

Does every entry need the same review frequency

Set review intervals and change triggers according to consequence, uncertainty and the pace of change. This method prescribes no universal interval.

What should we do with an unknown owner

Assign someone to resolve the gap and escalate material exposure. Do not silently put a colleague's name into the register as though they accepted responsibility.
