ISO 9001:2026 is now the current edition. A useful transition starts by identifying what actually needs to change in the organisation's quality management system, who owns each decision and what evidence will show that the change works. It does not start by rewriting every procedure.

ISO published edition 6 on 16 September 2026 and lists ISO 9001:2015 and its 2024 amendment as withdrawn. ISO's current public explainer says organisations should build on existing systems and make targeted changes. It also says certified organisations have three years to move to the 2026 edition, while advising them to agree the applicable plan with their certification body. ISO 9001:2026 official catalogue

This guide presents an original evidence-mapping method for UK organisations. It does not reproduce ISO clauses or replace an organisation-specific assessment of accreditation and certification arrangements.

Key takeaways

Confirm the edition and certification context before launching work. Translate high-level change themes into questions for the existing system. Keep one record linking each gap to an owner, action, evidence and decision. Test changed processes before closing the transition action.

Separate the overall deadline from your audit booking

The current Global ACI ISO 9001 transition document, issued on 4 September and implemented on 16 September 2026, sets 30 September 2029 as the transition end date for accredited certification in its scope. It calculates the period from the last day of the publication month. New initial certification is to use ISO 9001:2026 only after 31 March 2028; this is a separate milestone from the deadline for transitioning existing certified clients.

Agree your audit, closure of any findings, certification decision and certificate issuance with the certification body early enough to meet the applicable arrangements. A calendar entry for an audit is not completion of the transition. The standard's publication date, a particular certificate's expiry date and the global transition end date answer different questions.

Establish the transition boundary

Record which legal entities, sites, functions and certification scopes are in the programme. Note current certificate details, audit cycle and certification-body contact. A group policy may apply broadly while a certificate covers only named activities or locations.

Separate three questions: what ISO has published; what the organisation's existing QMS already addresses; and what its certification arrangements require next. Do not turn a public summary of the standard into a substitute checklist. The purchased standard, competent interpretation and applicable certification guidance remain the controlled references.

ISO describes stronger attention to leadership, quality culture and ethical behaviour, strategic alignment, and a clearer distinction between risks and opportunities. Use those public themes to direct investigation, not to presume nonconformity. ISO 9001:2026 business and transition explainer

Build an evidence map instead of a rewrite list

For every issue identified, record six elements: the source of the issue; affected process; current evidence; required decision; responsible owner; and evidence that will verify the result. Include a due date and status, but do not treat completion of a document edit as proof that the process changed.

A gap might be resolved by clearer leadership behaviour, a revised decision route, better awareness or a change to monitoring. The appropriate evidence may therefore be a sampled decision record, staff explanation, process result or management-review action—not necessarily a new procedure.

Mark dependencies. A change to opportunity management may affect planning, investment decisions and performance review. If each team edits its own form independently, the organisation can create contradictory definitions and duplicate controls.

Use a baseline that can be tested

Before modifying the system, preserve a dated view of the current process and evidence. That baseline lets reviewers distinguish a real change from a retrospective rewrite. It also supports controlled rollback when a proposed workflow creates unintended consequences.

Define verification before implementation. For a new leadership discussion, verification may ask whether decisions identify resources and follow-up. For an awareness change, verification should check understanding in the work context rather than attendance alone.

Do not close an action because an internal audit found no issue in a tiny or unrelated sample. State the population, sample rationale, evidence and limitation. Where consequences are significant, use competent review and a proportionate test.

Hypothetical UK transition example

Assume a fictional UK service organisation identifies that its opportunity decisions are scattered across sales notes and project meetings. Its evidence map links the issue to business planning and management review. The owner defines one decision record that captures expected benefit, resources, uncertainty and review date.

The organisation trials the record on three proposed service improvements. One proposal is approved, one is revised after a capacity constraint is found and one is declined. The transition action is not closed merely because the form exists; it closes after leadership reviews whether the route improves decisions and integrates it into the controlled process.

This example is invented. It does not claim conformity, certification success or observed client results.

A completed evidence-map entry

Fictional example. Use the scattered opportunity decisions above to complete one transition action. This is the organisation's own improvement choice, subject to checking the applicable standard; it is not an assertion that every organisation has this gap.

Evidence-map elementExample entry
Observed gapThree proposals used different assumptions and omitted accountable benefit owners
Existing evidenceSales notes and project minutes retained as the baseline
Decision requiredAdopt one route for deciding whether to fund, revise or decline an opportunity
Accountable ownerBusiness-planning lead; leadership retains investment authority
ImplementationRevised brief records expected benefit, resources, uncertainty and review responsibility
Verification plannedReview the next three proposals for decision traceability and unresolved dependencies
Closure boundaryForm issued; effectiveness review pending

The distinction in the final row prevents a document update from becoming a claim that the new route works. If one trial proposal has no resource owner, record that exception and its consequence; do not average it away with two complete forms. The evidence map should say what decision is still needed and who can make it.

Keep the certification-body transition arrangement in a separate linked record. An internal action being complete does not establish that an independent transition audit or certification decision is complete. The number of proposals here is illustrative and does not establish a universally adequate verification sample.

Govern the transition as a change programme

Maintain a decision log for interpretations, scope questions and deferred actions. Escalate matters that affect strategy, resources or certification scope through management reviews that produce accountable decisions. The transition record should support that review, not replace leadership judgement.

Agree with the certification body how the transition will interact with the audit cycle. Recheck current ISO and certification guidance before fixing dates because public arrangements may develop after publication. Avoid marketing statements that imply certification to the new edition before it has actually been granted.

Questions teams ask

Must every procedure be revised

No. ISO's public guidance says to build on the existing system and make targeted changes. Revise documented information only where the organisation's analysis shows it is needed.

Is the evidence map an ISO requirement

No. It is an original implementation aid for controlling transition work. The organisation must determine how to meet the actual applicable requirements.

Can we announce ISO 9001:2026 certification during transition

Only describe the status accurately. Transition activity is not certification. Confirm the approved wording and current certificate with the certification body before making public claims.
