Withdrawing a document from its source folder does not by itself prove that a workplace AI assistant has stopped retrieving it. Verify the corresponding indexed content and the evidence used in answers. A visible citation can still point to an obsolete version.
Retrieval-augmented generation, or RAG, supplies retrieved material to a model when it answers a question. Updating that retrieval collection is different from changing the model's training or stored knowledge. This guide addresses an organisation's controlled knowledge assistant, not a promise to remove information from public search engines or every AI service.
Key takeaways
Give source documents and their versions stable identities. Define what withdrawal means for current answers. Check the index and the user-facing evidence separately. Preserve required archives without leaving archived material eligible for ordinary current-policy questions.
Follow the document through the retrieval process
Draw the actual path from the approved source to the content used at answer time. It may include extraction, chunking, an index and an application cache. Record who operates each part and how updates or removals reach it.
Microsoft's Azure AI Search documentation explains that source deletion can leave orphaned search documents when the deletion process is not handled correctly. Its specific mechanics are product-dependent; do not assume another service behaves the same way. Microsoft deletion guidance
For India-based shared-service teams answering questions for overseas businesses, identify the client or entity, jurisdiction and effective dates of each policy. Two documents can have the same title while applying to different organisations. The retrieval process must preserve that distinction.
Define withdrawal without destroying required history
Decide whether a document is superseded, temporarily suspended, incorrect or simply outside the assistant's scope. The reason affects how the system should respond. A superseded policy may remain in an authorised archive while being excluded from answers about current practice.
Maintain a controlled relationship between the source identifier, version and indexed chunks. The owner should be able to identify the pieces associated with a withdrawn version without relying on an ambiguous filename search.
Deletion and retention need separate decisions. Do not destroy required business records to solve a retrieval problem. Restrict eligibility for current retrieval through the supported system design while following the applicable retention and access arrangements.
Test the removal route before relying on it
Use an authorised test document with a distinctive, harmless fictional instruction. Confirm that the assistant can retrieve it in the test environment. Then withdraw or supersede it through the normal controlled route and observe the processing result.
Check the configured update schedule and failure reporting. For Azure Storage native soft-delete detection, Microsoft documents conditions involving the deletion policy and indexer processing while the blob remains in its soft-deleted state. That is a reason to test the configured sequence, not a recommendation to change a production retention setting casually. Microsoft change and deletion detection
Keep the test reversible and isolated. Do not remove live policy documents, broaden permissions or upload client-confidential material merely to demonstrate a feature.
A hypothetical version withdrawal
Assume an invented service team has policy A version 3, now replaced by version 4. Version 3 contained a fictional approval route through Team Blue; version 4 uses Team Green. Both versions are retained in a controlled records archive.
The test asks a current-policy question after the approved update. The assistant cites version 3, even though the main source folder shows version 4. The team investigates the active retrieval collection and finds older chunks still eligible for the question.
The owner corrects the supported indexing or filtering arrangement and repeats the test. The release record includes the document identifiers, processing evidence and answer citations. This is a hypothetical scenario, not a claim that a particular vendor failed or that QSE tested a production system.
Specify the withdrawal evidence before the test
The fictional policy A exercise needs separate evidence for removal, current answers and authorised history. The following is a proposed test card; no index operation or assistant test has been performed.
| Check | Prepared input | Expected evidence |
|---|---|---|
| Identity | Policy A, version 3, and its recorded chunk identifiers | The operator can identify every relevant indexed part without matching only the title |
| Current eligibility | Current-policy retrieval after the controlled update | Version 3 is no longer eligible; version 4 is eligible where appropriate |
| Current answer | Ask who approves the fictional transaction | Answer cites version 4 and Team Green, or declares a source gap |
| Historical answer | Authorised archive user asks about version 3 | Historical response is explicitly labelled and respects archive access |
| Missing current source | Suspend version 4 in an isolated test collection | Assistant does not silently fall back to version 3 as current policy |
Do not score a correct Team Green answer as proof that the old chunks disappeared: the model might have selected the right source by chance. Inspect eligibility through supported system tools and evaluate answers separately. Equally, an index deletion message does not prove the application cache or a copied document was updated.
The release record should state exactly which collection and cache paths were checked, which remained outside scope and what evidence is pending. A retention archive can remain intact while current retrieval excludes it. Treat the handling of other search services, trained model knowledge and external copies as separate matters.
Verify the evidence presented to the user
A correct answer once is insufficient evidence of complete withdrawal. Check the relevant document identifiers through the system's supported inspection tools, then test representative current and historical questions with the appropriate access roles.
Decide what a historical question should return and label archived versions clearly. Test a question with no suitable current source: the assistant should follow its defined escalation or uncertainty behaviour instead of presenting withdrawn text as current policy.
Then test AI citations before releasing a workplace knowledge assistant. The withdrawal test establishes which material is eligible; citation review examines whether the selected evidence supports the actual claim.
Questions teams ask
Does deleting an index entry retrain the model
No. It changes the retrieval collection. Model training, external search retrieval and application records are separate systems and require separate explanations.
Is a newer filename sufficient
No. The system needs an unambiguous identity and a tested rule for eligible versions. A filename can help a person, but it does not establish how the retrieval process behaves.
How often should withdrawal tests run
Choose an interval and triggers based on the consequences of stale answers. A connector change, new indexing process or failed update warrants a focused recheck. NIST AI 600-1 provides voluntary risk-management context; it does not set a universal testing frequency. NIST Generative AI Profile
